Brazilian Export Documentation: Phytosanitary, Certificates of Origin & Compliance — illustrative scene

Buyer guide · SAI Agro Brazil

Build a shipment-specific document list

Documentation depends on the commodity, destination, transport arrangement and contract. Start with the importer’s requirements and identify the responsible issuer and timing for each document. Avoid assuming that one generic certificate package applies to every Brazilian agricultural shipment.

Commercial and transport documents

Align the invoice, packing or weight information and transport document with the agreed product description, quantity, parties and shipping terms. Review names, references, ports and units consistently across the commercial file. Any bank presentation requirements should be resolved with the relevant institution.

Origin and regulatory requirements

Identify whether proof of origin, plant-health documentation, animal-health documentation, treatments or destination-specific approvals are required. The relevant authorities and importer should confirm the current rules for the product and market. Official Siscomex guidance describes the Brazilian export process.

Quality and inspection arrangements

If independent inspection is required, agree the scope, provider, sampling procedure, test methods and reporting format. Specify whether quality, quantity, loading supervision or other checks are included. The offer should state what is provided and which party bears the applicable costs.

Review before dispatch

Prepare a document matrix showing the issuer, recipient, deadline and approval responsibility. Check draft documents against the contract before final issue where practical. Correcting mismatched product descriptions or consignee information early helps avoid difficulties later in the shipping and clearance process.

Prepare your inquiry

Include your company details, product specification, quantity, packaging, destination country and port, preferred trade terms and shipment period. Requirements and supply conditions are confirmed for the individual offer. These guides support procurement preparation; current destination and contractual requirements should be checked with the relevant advisers and authorities.
